Special Event Grant

Qualifications & Guidelines

  • Funds must be used for events that engage UW Madison students (minimum 75% UW Madison student attendees)
  • The event’s purpose must align with Rec Well’s mission and values.
  • Applicants must either be a Registered Student Organization or UW-Madison Department and in good standing with Rec Well.
  • External vendors or partners are not eligible.
  • Groups are limited to one grant per fiscal year (July-June)
  • Max funding per grant per event is $500.
  • Events must occur during facility hours of operation.
  • Event must be free of charge to participants
  • Events cannot compete or conflict with existing Rec Well programs (i.e. Intramural Sports).
  • All event promotional materials should include Rec Well logo and “Funded through Rec Well’s Special Event Grant” and be reviewed by Rec Well.
  • Rec Well can help promote the event through digital screens if materials are provided on time.
    • 10 business days prior and based on availability, meets Rec Well standards
  • Recognized UW Sport Clubs are not eligible to use funding towards practices or competitions held at Rec Well facilities.

Special Event Grant Application

  • The Special Event Grant can be applied to:
    • Space/Room rental in Rec Well facilities
    • Equipment rental
    • A/V use and rental

    The Special Event grant cannot be applied to:

    • Staffing charges
    • External expenses
    • Facility use insurance

    Many of these expenses may be covered by additional grants through Associated Students of Madison (ASM) if your group is a registered student organization. https://asm.wisc.edu/grant-allocation-committee/
